Job description

We are looking for an Event Support for Local Activities and Logistics professional to complete our consultants Workforce Management Service to support the Outreach team of the European Space Agency (ESA) at their location in Cologne, Germany. The purpose of this Support Service is to provide the Agency with all logistical and organizational skills needed to support internal and external communication activities. The selected candidate should show integrity and professionalism.


Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at the interview stage).


The successful candidate will be tasked with, but not limited to:

  • Ensure the provision of various logistic support linked to the organization and preparation of missions and meetings for the EAC Communication Team;
  • Handle telephone calls and take messages;
  • Organise and receive shipments of letters and goods;
  • Arrange video conferences;
  • Schedule monthly meetings, calendars and appointments;
  • Organise office stationery supplies, promotional merchandise storage and inventory and travel arrangements;
  • Facilitate effective internal communication within the EAC Communication Team by participating, when requested, to meetings related to the planning of the EAC Communication Team workflow and by ensuring proper follow-up, implementation of related decided actions and appropriate liaison with external suppliers when needed;
  • Provide, upon request, logistics support to specific ad-hoc projects and coordination with the related internal teams;
  • Ensure correct dispatch of external information requests and organise overall management of information and promotional material;
  • Ensure the provision of logistic support linked to the organisation of EAC internal events, such as action lists preparation, follow up of open actions, documentation management, organization of meetings including preparation of agenda;
  • Support with the display updates on the EAC video screens;
  • Maintain an appropriate filing system, shared documentation, including archival and storage inventories for the EAC Communication Team.

Job requirements

  • A bachelor’s degree in Communications, Outreach, or a related discipline;
  • At least 4 years of relevant work experience;
  • High proficiency with modern electronics office automation tools, in particular Microsoft Office suite and electronic mailing;
  • Ability to communicate with industry counterparts in the execution of the project-specific tasks;
  • Familiarity with ESA working environment in a similar position is a distinct advantage;
  • Familiarity with outreach activities related to science and technology.
  • Capacity to identify priority actions and handle high workloads;
  • Easy contact with personnel and well-balanced autonomy in the execution of the requested tasks;
  • High level of flexibility as well as initiative and team spirit;
  • Rigor, commitment, and reliability in the execution of the assigned tasks;
  • Fluency in German, both written and spoken;
  • Fluency in English, both written and spoken.
