Job description

We are looking for an Event Logistics and Outreach Support on behalf of the European Space Agency (ESA) for their location in Cologne, Germany, to join their Outreach & Media Relations. The selected candidate should show integrity and professionalism.


Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at interview stage).


The successful candidate will be tasked with, but not limited to:

  • Ensure the provision of various logistic support linked to the organization and preparation of missions and meetings for the EAC Communication Team including:
    • Handling telephone calls, taking messages;
    • Organizing and receiving shipments of letters and goods;
    • Arranging video conferences;
    • Scheduling monthly meetings, calendars, and appointments;
    • Travel arrangements, including flight, train, hotel and related elements;
    • Organizing office stationery supplies, promotional merchandise storage and inventory etc...)
  • Facilitation of effective internal communication within the EAC Communication Team by participation, when requested, to meetings related to the planning of the EAC Communication Team workflow and by ensuring proper follow-up, implementation of related decided actions and appropriate liaison with external suppliers when needed;
  • Logistics support to specific ad-hoc projects and coordination with the related internal teams;
  • Ensure correct dispatch of external information requests and organization overall management of information and promotional material;
  • Ensure the provision of logistic support linked to the organization of EAC internal events, such as action lists preparation, follow up of open actions, documentation management, organization of meetings including preparation of agenda;
  • Support of the planning, coordination, logistics and organization of public appearances of and interviews/shootings with astronauts in close cooperation with the media relations and the outreach team e.g. support of the assessment and processing of requests by media, the general public as well as internal and external customers via phone, email and the PAROS system (or its successor) and ensure that all requests are processed according to the standards of DG-CNC;
  • Support the display updates on the EAC video screens;
  • Maintenance of an appropriate filing system, shared documentation, including archival and storage inventories for the EAC Communication Team.

Job requirements

  • University degree (Bachelor) from a recognized institution of secondary studies;
  • At least 4 years of relevant work experience;
  • Proven professional skills in organizational as well as administrative and/or secretarial activities;
  • High level of proficiency with modern electronics office automation tools, in particular, SAP, Microsoft Office suite and electronic mailing (preferably Lotus Notes);
  • Journalistic and/or event management experience is considered a distinctive advantage;
  • Capacity to identify priority actions and handle workload peaks;
  • Ability to evaluate and assess appropriate promotional material according to specific events;
  • High level of flexibility as well as initiative and team spirit;
  • Excellent interpersonal and communication skills and well-balanced autonomy in the execution of the requested tasks;
  • Rigor, commitment, and reliability in the execution of the assigned tasks;
  • Familiarity with ESA working environment is an asset;
  • Proficiency in the English and German language, both written and spoken.
