Job description

We are looking for a Secretary/Administrative Assistant on behalf of the European Space Agency (ESA) for their location in Noordwijk, the Netherlands, to join their Future Missions & Instruments Division. The selected candidate should show integrity and professionalism. The deadline for submitting applications is 10 April 2023.

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at interview stage).

The successful candidate will be tasked with, but not limited to:

  • Preparing missions and liaising with Travel Office for Business travel arrangements;
  • Typing of correspondence, meeting minutes, reports, scanning of documents;
  • Sorting incoming mail, handling telephone calls/messages, set up videoconferences;
  • Setting up meetings, including preparation and distribution of meeting invitations, booking of meeting rooms, registration of visitors and escort them from ESTEC Security Gate to meeting room location,
  • Support the administration and update of the SharePoint of the EOP-FM Division;
  • Miscellaneous logistics support for the EOP-FM Division.

Job requirements

  • Completed secondary education and professional training in administrative and/or clerical support;
  • At least 2 years of relevant work experience;
  • Experience in administrative and secretarial support;
  • Highly proficient in Office365 (incl. Word, Excel, Sharepoint, Outlook, Onedrive) and other personal computer software;
  • Knowledge and experience of Sharepoint would be an asset;
  • Ability to establish and maintain effective relationships within the EOP-FM Division, with other ESA colleagues and with external stakeholders;
  • High degree of flexibility and self-motivation to work in a fast-paced environment with good organisation skills, strategic planning, discipline, and independence;
  • Responsible, discrete, dependable, reliable;
  • Good interpersonal and communication skills;
  • Ability to work quickly and cope with deadlines;
  • Fluent in English (both written and spoken);
  • Knowledge of another member state language is considered an asset.
