Job description

We are looking for an Astrolabe Activities & Logistics Support professional on behalf of the European Space Agency (ESA) for their location in ​Paris, France​. The scope of the service is to provide various types of logistic support for external events and exhibitions as well as internal events organisation, specific social media posts, partners network interface, liaison with Agency’s selected external suppliers, internal and administrative organisation, management of promotional material distribution such as merchandising and publications, shared documentation, archival and storage inventories.  Please be aware that this is a part-time position to be filled for 18 hours per week.  

 

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at interview stage). 

 

The successful candidate will be tasked with, but not limited to: 

  • Provide adequate logistics activities needed to ensure adequate running of the ESA HQ Astrolabe centre visits, ESA’s first space to be completely open to the public, during the agreed opening hours;  

    • Provide comprehensive visits of the Astrolabe in French and English to present the different activities of ESA by:  

    • Welcoming visitors during opening hours; 

    • Providing a comprehensive tour and answering questions; 

    • Inviting visitors to visit the ESA Space shop (in collaboration with the ESA Space Shop vendor) to ensure the qualitative and fluid presentation of the Astrolabe and ESA Space Shop as one unique site opened to public visits. 

  • Ensure the logistic support linked to the organization, preparation, running and closing of scheduled visits of the Astrolabe including:  

    • Setting-up an on-line booking platform for timeslot reservation, visits and participation; 

    • Handling telephone calls and taking messages from schools, clubs, VIP visitors, etc.; 

    • Sharing relevant information to the public: address, opening hours, etc.;  

    • Scheduling visits when necessary and ensuring the opening of the Astrolabe during potential HQ Open Days or events.  

  • Liaise with adequate ESA Services to activate and deactivate display screens, in case of any technical issues, for the opening and closing of the Astrolabe and for ensuring the proper storage of relevant material at closing hours;  

  • Work in close coordination with the Public Relation Officer for HQ to ensure the promotion and development of content for the Astrolabe by:  

    • Developing a social-media campaign around the Astrolabe selecting the right channels and creating adequate content; 

    • Proposing and developing new content for the Astrolabe displays;  

    • Promoting the Astrolabe existence and its potential use to partners network such as the ESERO and the ECSITE;  

    • Developing a long-term relationship with Parisian schools. 

  • Bring contentious issues to the attention of the service manager; 

  • Dedicate each Saturday from 09:00 to 13:00 to public visits.

Job requirements

Please ensure that your CV clearly explains how you meet the essential requirements. If it doesn’t align completely with the essential criteria, it could result in rejection. 

  • Bachelor’s degree in a relevant discipline; 

  • At least 4 years of relevant work experience; 

  • High proficiency with modern electronics office automation tools, in particular Microsoft Office suite, videoconferencing/communication tools (Microsoft Teams) and electronic mailing (Outlook); 

  • Ability to communicate with industry counterparts in the execution of the project-specific tasks; 

  • Capacity to identify priority actions and handle high workloads; 

  • Familiarity with ESA working environment in a similar position is a distinct advantage; 

  • Easy contact with personnel and well-balanced autonomy in the execution of the requested tasks; 

  • Available to work on Saturdays from 09:00 – 13:00; 

  • High level of flexibility as well as initiative and team spirit; 

  • Rigor, commitment, and reliability in the execution of the assigned tasks; 

  • Fluency in English, both written and spoken; 

  • Fluency in French, both written and spoken; 

  • Eligibility to work and live in the EU.
