Job description

We are looking for a ​Configuration and Data Management Support​ to complete our consultants Workforce Management Service to support the ​Head of BUC & PMSO Commercial & Industry Partnership Office (CFO-HI)​ of the European Space Agency (ESA) at their location in ​Noordwijk, The Netherlands, or Harwell, UK​.  

 

The purpose of this Support Service is to ​fulfil a transversal role within the Directorate of Commercialisation and Industry Partnership (CIP) by providing management support and being responsible for its overall resource planning, controlling, and reporting, with the aim of ensuring a coherent, balanced and effective implementation of activities. The Office also provides dedicated support to the project managers for the management support activities concerned with project control, configuration and data management (CADM), financial and cost control, schedule and risk management control, and digital reporting.​.   

 

Please be aware that this position is intended to be filled on a part-time basis (20-hours per week).  

 

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at the interview stage).

The successful candidate will be tasked with, but not limited to: 

Planning support 

  • Coordinate Configuration and Data Management (CADM), planning and review support activities, ensuring consistent processes, effective use of common tools, continuous improvement, and autonomous service delivery under the guidance of the Work Package Service Manager and WPTR; 

  • Support information and documentation management by: 

    • Implementing and maintaining project information, documentation and records management processes throughout the information lifecycle; 

    • Ensuring information quality, accessibility, security, storage and archiving in compliance with applicable requirements; 

    • Managing interfaces with project teams, corporate IT, documentation services, security officers and data protection focal points; 

    • Supporting audits, reporting and presentations as required.  

  • Support configuration management activities by: 

    • Providing CADM expertise during project execution, procurements and reviews; 

    • Acting as the focal point for configuration management interfaces across project management, engineering, product assurance and industry; 

    • Supporting change control processes, configuration records, project baselines and associated documentation; 

    • Coordinating configuration boards, change requests, deviations, waivers and follow-up actions; 

    • Supporting project documentation management plans and CADM processes with external partners.  

Reviews logistic support 

  • Coordinate and support review logistics throughout the review lifecycle, including planning, preparation, execution and close-out;  

  • Manage review data packages, documentation distribution, access rights and RID tracking tools, ensuring compliance with security and export control requirements; 

  • Liaise with project teams, reviewers, suppliers and industrial partners to resolve issues, monitor actions and support review objectives; 

  • Prepare review reports, presentations, status summaries and lessons learned, and support review close-out activities. 

CADM process and plans, procedures and training 

  • Support the development, implementation and continuous improvement of CADM plans, procedures, standards and contractual requirements, promoting harmonised practices across projects;  

  • Act as a focal point for CADM processes, tools and user support, including the maintenance of guidance material and training delivery;  

  • Contribute to process optimisation, automation, digitalisation and knowledge-sharing initiatives, including support to working groups and new tool implementations. 

Job requirements

Please ensure that your CV clearly explains how you meet the mandatory requirements. If it doesn’t align completely with the essential criteria, it could result in rejection. 

  • Master's degree in Engineering, Business Administration, Information Management or a related field;  

  • Minimum 4 years of experience in Configuration and Data Management, document control or related project support functions within aerospace, defence or another regulated technical environment; 

  • Experience developing and implementing procedures, promoting best practices and ensuring compliance with information security, export control and data protection requirements; 

  • Strong knowledge of project management, configuration management, documentation management and associated tools (e.g. Microsoft 365, SharePoint, SAP, Primavera, Microsoft Project or equivalent); 

  • Ability to manage information, documentation, configuration and review activities across complex technical projects involving multiple stakeholders and external partners; 

  • Ability to analyse data, improve processes, ensure data integrity and contribute to harmonised working practices across teams; 

  • Ability to work autonomously, communicate effectively and maintain productive relationships with internal and external stakeholders;  

  • Candidates must be eligible to live and work in the EU (or UK); 

  • Fluency in English, both written and spoken.
