Job description

We are looking for a ​Data Monitoring Support Coordinator​ on behalf of the European Space Agency (ESA) for their location in ​Frascati, Italy​. Please be aware that this position is intended to be filled initially on a part-time basis of 20 hours per week for a fixed period of 6 months. This can be discussed further in detail at interview stage.

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at interview stage).

The successful candidate will be tasked with, but not limited to:

  • Define the overall reporting structure and governance model for Agency-wide communication reporting; 

  • Identify participating ESA establishments, communication offices and reporting stakeholders;

  • Define reporting responsibilities and reporting ownership;

  • Establish reporting schedules and submission timelines;

  • Define common reporting categories applicable across ESA establishments;

  • Define reporting metrics and key performance indicators, in liaison with WP CLO 12 to ensure consistency with Department KPIs and metrics;

  • Develop standard definitions to ensure reporting consistency;

  • Identify minimum reporting requirements for all participating entities;

  • Design standard reporting templates for quarterly submissions;

  • Develop guidance material for reporting contributors;

  • Define standard formats for tables, statistics, graphical reporting and narrative summaries; 

  • Ensure alignment with ESA branding and presentation requirements;

  • Establish data collection workflows; 

  • Define information submission and consolidation processes; 

  • Develop procedures for handling missing or incomplete submissions; 

  • Create document management and reporting archive procedures; 

  • Coordinate consultations with ESA communication offices;

  • Gather reporting requirements from participating establishments; 

  • Consolidate feedback and implement agreed reporting processes; 

  • Support adoption of the new reporting framework;

  • Conduct a pilot reporting cycle using sample or historical data supplied by participating entities; 

  • Identify process improvements and implementation issues;

  • Refine templates and reporting guidance as required;

  • Produce a final framework ready for operational deployment.

Job requirements

  • Bachelor's degree in Communications, Marketing, Business Administration, Data Analytics, Public Relations, or a related field;

  • At least 5 years of relevant experience;

  • Experience in communications, reporting, stakeholder engagement, outreach monitoring, or corporate communications;

  • Experience in developing reporting frameworks, KPIs, dashboards, or performance measurement systems;

  • Experience coordinating information from multiple stakeholders and consolidating inputs into management-level reports;

  • Demonstrated experience supporting communication campaigns, outreach activities, events, or public engagement initiatives; 

  • Advanced proficiency in Microsoft Excel and PowerPoint, including the ability to create advance-level presentations, dashboards, charts, and management summaries;

  • Ability to liaise effectively with multiple stakeholders;

  • Strong stakeholder engagement and consensus-building skills;

  • Ability to translate complex information into clear and concise reports for management audiences;

  • Familiarity with branding and corporate communication guidelines;

  • Highly organised and detail-oriented;

  • Strong planning and prioritisation skills, as well as analytical and reporting skills;

  • Proactive approach to problem-solving;

  • Ability to manage multiple deadlines and reporting cycles simultaneously;

  • Experience working in international organisations, institutional environments, or public-sector communications;

  • Experience working with distributed communication networks across multiple sites or countries;

  • Experience with data visualization and reporting tools (e.g. Power BI, Tableau, Looker Studio) is an asset;

  • Knowledge of the space sector, scientific organisations, or European institutions is a strong asset;

  • Candidates must be eligible to live and work in the EU;

  • Fluency in English, both written and spoken.
