Job description

We are looking for a ​Logistics Support professional​ to complete our consultants Workforce Management Service to support the ​Outreach Team​ of the European Space Agency (ESA) at their HQ in ​Paris, France​.  

 

The purpose of this Support Service is to support the execution of communications plans, campaigns and related events and exhibitions, and internal organisation. The aim is to provide the Agency with all logistics and organisational skills needed to support internal and external communication activities.   

 

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at the interview stage).

The successful candidate will be tasked with, but not limited to:

  • Organise all information workflow and logistics for outreach activities including the ESA Member States Advisory Communication Committee (ACC) as well as Outreach activities within Member States by:  

    • Supporting the preparation of relevant outreach activities reports (objectives, achievements, deliverables, etc..) such as DG report to the ESA Councils; 

    • Ensuring ESA Member States Advisory Communication Committee (ACC) information workflow and logistics (up to date contact details of ACC representatives, up to date list of established Member States communication priorities through ACC representatives, general queries answers, day to day communications, organisation, and logistics matters of all ACC physical and/or remote seminars); 

    • Ensuring the proper coordination of ESA participants in ACC meetings and the correct taking of minutes for approval and distribution to the ACC members; 

    • Ensuring the appropriate publication of information to ESA Blue Docs, including reports, documentation and both draft and approved minutes.  

  • Provide logistics for outreach activities at HQ, in France, Luxembourg, Belgium in close coordination with the ESA Public Relations Officer responsible for HQ and these Member States by:  

    • Ensuring operational logistics and coordination of common outreach initiatives with national space agencies;  

    • Promoting coordinated outreach events by writing articles for both the Intranet and the ESA portal, as well as draft project/final reports;   

    • Supporting in the creation of the national web pages on the ESA Portal and social media channels in liaison with the relevant Department’s Office;   

    • Ensuring outreach activities logistics of the ESA astronauts of France, Luxembourg, Belgium nationalities in close collaboration with the Communication Program Officer for HRE;  

    • Supporting events organisation (national events and upon request international ones) in line with identified priorities;  

    • Organizing the logistics of outreach events at ESA HQ establishment level as well as potential visits for general public (and schools) by coordinating with the concerned parties;  

    • Action lists preparation, related meeting, agenda organisation, follow up of open actions and documentation management, periodical update and distribution of the ESA HQ news on the existing display systems;  

    • Coordinating the potential participation of external communicators network to outreach events;  

    • Supporting relevant social media campaigns where necessary. 

  • Coordinate and monitor the translation tool activities across the various establishments, including monitoring use through a vendor-provided tool (DeepL) and coordinating the provision of licenses and high-sensitivity translation requirements (this is not a translation function). 

  • Bring contentious issues to the attention of the ESA Technical Responsible.

Job requirements

  • A bachelor’s degree in Communications, Outreach, or a related discipline; 

  • At least 5 years of relevant work experience; 

  • High proficiency with modern electronics office automation tools, in particular Microsoft Office suite and electronic mailing; 

  • Ability to communicate with industry counterparts in the execution of the project-specific tasks; 

  • Familiarity with ESA working environment in a similar position is a distinct advantage; 

  • Familiarity with outreach activities related to science and technology;

  • Capacity to identify priority actions and handle high workloads; 

  • Easy contact with personnel and well-balanced autonomy in the execution of the requested tasks; 

  • High level of flexibility as well as initiative and team spirit; 

  • Rigor, commitment, and reliability in the execution of the assigned tasks; 

  • Candidates must be eligible to live and work in the EU;  

  • Fluency in English, both written and spoken is mandatory; 

  • Fluency in French, both written and spoken is a strong asset.
